A complete printing quotation request helps you compare budgets accurately and avoid misunderstandings. Similar-looking projects can differ in price because of their size, materials, quantities, finishes and delivery arrangements. Gather the following details before asking for a unit price.
1. Project type and dimensions
State whether you need boxes, labels or stickers, and include the measurement units. For boxes, provide width, length and height and clarify whether these are internal dimensions or finished external dimensions. If the box size is not decided, send photographs and measurements of the actual product. For labels, specify the shape and where they will be applied.
2. Quantity per design, not only the total
Explain how many designs or product variants you have and the quantity for each. For example, 3,000 labels split into three fragrances at 1,000 each is clearer than a total alone. To compare budgets, request more than one quantity using the same specifications.
3. Materials and conditions of use
If you know the paper or film grade, include the details. Otherwise, describe the product weight, environment and desired surface finish: for example, labels for refrigerated bottles or boxes displayed in a shop. This gives the printer more useful information than simply asking for a premium appearance.

4. Colours, coatings and decorative finishes
Specify which sides will be printed, the colour requirements and additional finishes such as coating, foil or embossing. Mark the exact effects you want on reference images, as one example may combine several finishes. The position and area of extra finishes affect the quotation.
5. Available files and artwork approval
Tell us whether you have print-ready artwork, only a logo or reference images. If design or file adjustments are needed, state the scope separately and check what the quotation includes. Review the print-ready artwork checklist before sending files for assessment.
6. Required date, delivery location and packing
Provide the date you actually need to receive the job, the delivery area and any receiving restrictions. If labels must be supplied on rolls for an applicator, include the machine requirements, such as winding direction and core size, as specified by its operator. Production time must be confirmed after specifications and starting conditions are agreed; it does not automatically begin with the first enquiry.
